What is a document management system (DMS)?
A document management system is the application in which a company keeps all its documents in electronic form: it registers them, classifies them, routes them for approval, finds them by their content and keeps them for as long as the rules require. It replaces the usual mix of ring binders, a shared folder on a server and a register kept in a spreadsheet.
4docs.net is such a system, built for businesses in Ireland: an electronic archive with version history, a register with automatic numbering, approval routes with a deadline at each step, search inside digital documents with a text layer, and retention periods set and tracked per document type.
What you can do with 4docs.net
Six concrete tasks, done in the same application, without exporting files from one tool into another.
You archive in a structured way, not on a network drive
Documents are versioned and filed under your filing plan. Nothing is overwritten after filing: a correction is a new version, linked to the one before it.
You keep an electronic register of incoming and outgoing documents
Each item gets a continuous number with no gaps, a responsible department and a processing deadline. Cancelled entries stay visible, and delivery notes are created straight from the register.
You route documents through an approval process
You define who checks, in what order and by which date. If someone is away, approval passes to a named deputy, and overdue files appear on a separate list.
You search the text inside documents, not just the file name
Find a digital document with a text layer by an amount, a company name or a reference number that appears in it.
You follow retention periods
Each document type carries its own period. When it expires, the system proposes deletion, and a person decides.
You give access without sending copies by e-mail
Access follows each user's role, and links expire on a set date. Every opening is recorded in the access log.
What you gain and what to expect
Benefits
- You find any document in seconds, including older digital files with a text layer, because search looks at content and not only at the file name.
- The registration number is assigned by the system, so a separate register kept in a spreadsheet is no longer needed.
- Retention periods are tracked by the application, not by one person's memory.
- Documents no longer travel as attachments: there is one valid version, with its full history.
- During an inspection you can see at once which documents exist, who opened them and when.
- Fewer binders in the office and fewer trips to off-site storage.
Limits to keep in mind
- Moving your paper history into the system takes time. Scanning and indexing older files is real work, whether you do it in-house or with a scanning provider.
- Scanned documents without a text layer are not searched by their content. Add a text layer or check them by hand before you search them by content.
- The filing plan needs careful thought at the start. A plan improvised in a hurry makes finding files as hard as before.
- 4docs does not replace your procedures and does not make a document legally binding on its own. Whether a document will stand up in a dispute also depends on your process and on the requirements of your sector.
How 4docs.net works, in 4 steps
Build your filing plan
Define the archive structure, the departments and the document types, and attach a retention period to each one. Start from a template and adjust it to how your company really works.
Upload or scan your documents
Each document automatically gets a registration number, a date, a department and an owner. Scanned files without a text layer are stored, but they are searchable by content only once they have one.
Send it along the approval route
Choose the approval route by department. Each step has a deadline and a responsible person, and the status of the document is visible in real time, without chasing people by e-mail.
Keep it as long as required, then delete in a controlled way
When the retention period ends, you receive a proposal to delete. Deletion follows a decision by a person, not an automatic process.
4docs.net compared with other ways of keeping company records
Each option has its place. The table compares what matters when you look for an old invoice or when an inspection is coming.
| Criterion | 4docs.net | Folders on a server or network drive | SharePoint | Paper archive with an external storage provider | Classic on-premise DMS |
|---|---|---|---|---|---|
| Automatic registration number | Yes, for every incoming and outgoing item | No, kept by hand, often in a spreadsheet | Yes, but only after dedicated configuration | Yes, in the paper register | Yes |
| Search inside document content | Yes, for digital files with a text layer | Usually only file names | Yes, once search indexing is configured | No, only the box label or index card | Yes, depending on the OCR setup |
| Retention periods tracked automatically | Yes, by document type | No, depends on who remembers | Possible, with extra configuration | Set by the storage provider's schedule | Yes, with a licensed module |
| Approval route with deadlines | Yes, step by step, with a deadline at each step | No | Yes, through workflows built in advance | No | Yes |
| Access log per document | Yes, every opening is recorded | Only if auditing is switched on | Yes, in the audit log | No | Yes |
| What it takes to start | Sign up and set up your filing plan | Nothing new, but little control | Licences, server or cloud setup and administration | Booking and transport of boxes | Installation, licences and IT support |
SharePoint and on-premise DMS software cover similar needs but require licences, configuration and a dedicated administrator. External off-site storage remains useful for originals that must be kept physically. 4docs.net does not replace your legal record-keeping obligations; for those, ask your accountant or tax adviser.

Paper volume is not the same everywhere. In the sectors below, a document that cannot be found costs billable time, a fine or a day's delay. For each one, 4docs.net solves something different.

4docs.net in the 4b2b network
The company's document archive sits alongside the applications you already use: documents are uploaded from the panel or imported from a folder, each one gets a number, a due date and an approval circuit, and alerts about deadlines and approvals reach you by SMS or WhatsApp, only if you have opted in. - It comes in from several routesA scanned PDF, a file uploaded in the panel, a bulk import from a folder, or an upload link through which a sender delivers a file — the document lands in the same register, with the same registration number.
- One single version remainsAttachments stop circulating. Colleagues get a link to the document, with the rights of their role, and the history stays intact.
- Deadlines don't slip byRetention periods and due dates are visible in the panel. If you turn on alerts, the company gets an SMS or a WhatsApp message before a deadline expires.
You find the document by what is written inside it, not by the file name
Search covers the text already in each document: digital files and PDFs with a text layer. Scans without a text layer are not read automatically and need a text layer or a manual check. You type an amount, a supplier name or a number off a five-year-old sheet of paper and you get the document, the page and the file it sits in — including for digital files uploaded before you moved to 4docs.net.
The search covers only documents your role has access to.
